Governed AI Knowledge Assistant

Cite-or-refuse - a private assistant grounded only in your controlled documents, with every answer cited and every gap logged.

The situation

Operators and new hires ask the same questions every shift: what is the hold time, which form applies, what does this step mean on nights when the senior tech is off. The answers exist - somewhere in four hundred SOPs that nobody can search well. So people ask whoever is nearby, and the answer quality depends on who is nearby.

Meanwhile the ungoverned alternative is already in the building: staff pasting procedure text into public chatbots, sending controlled content to systems with no citation, no revision awareness, and no boundary. The choice is not between an AI assistant and no AI. It is between a governed one and the one that is happening anyway.

What we deliver

A private assistant grounded exclusively in your controlled documents. The assistant answers from your effective corpus and nothing else. No open-internet answers, no general knowledge dressed up as your procedure, no content from anyone else’s documents.

Cite-or-refuse, on every answer. Every response cites document, revision, section, and effective date - so the answer is checkable in seconds. And where the corpus does not contain an answer, the assistant refuses rather than improvises. In a regulated environment, “I cannot cite a source for that” is the correct answer, and this assistant is built to give it.

Revision discipline built in. Superseded revisions are automatically excluded the moment a new revision becomes effective. Drafts are never indexed. The assistant cannot quote last year’s hold time, because last year’s document is no longer in its world.

Unanswered questions become a training gap report. Every refusal is logged. The pattern of what people ask and cannot find is fed back as a structured gap report to the qualification program - the questions your documents and your training are not answering, straight from the floor. The assistant does not just serve the program; it informs it.

Read-only by design. The assistant retrieves and explains. It never creates, modifies, or approves records; it has no write path into any system. There is no configuration in which it can become an uncontrolled author inside your quality system.

Deployment where your documents can live. Options run from your own cloud tenancy to fully on-premises, where documents never leave the site. For air-gapped environments and broader private AI architecture, see our private and local AI deployment service.

The regulated-environment stance

Retrieval with citation, not model fine-tuning - because auditability and currency matter more than cleverness. A fine-tuned model bakes your documents into weights nobody can inspect and goes stale the day a procedure revises. A retrieval system reads the current effective corpus at answer time and shows its sources. When an auditor asks how you know the assistant’s answers are correct, “every answer cites the effective revision” is an answer. “We trained a model on our documents” is not.

What changes

The same questions stop consuming senior people every shift. New hires get cited answers instead of nearby ones. Controlled content stops leaking into public chatbots because the governed alternative is better than the ungoverned one. And the questions nobody can answer stop disappearing into the air - they become the most honest input your training program has ever had.
